What Does My Website Copywriting Process Involve?
Step 1: Your Initial Enquiry
You get in touch via my contact form or email jane@breezywords.com.au and tell me which website copywriting package you want. We’ll jump on a quick discovery call so I can find out more details, and you can ask me any questions.
Then, I’ll send you a proposal outlining your website copywriting project, all the steps involved, the timings, and terms and conditions.
Once you’ve paid a 50% deposit to secure your project in my calendar, we’ll lock in a starting date.
Step 2: The Briefing Process
I’ll send you a briefing questionnaire tailored to your business so I can get all the information I need to write your website copy. We’ll then go through the brief together over a 1-hour call. This process helps me understand your business, brand, target audience, tone of voice, what you want your website to achieve, and your overall business and marketing goals before I start writing your website copy.
Step 3: Industry Research + Competitor Analysis + Keyword Research
You can now relax and go about your day because it’s time for me to do my work. I’ll delve further into your industry and check out your competition. First, I’ll look at your competitors’ websites and research your industry. This helps me identify your unique selling proposition, so I can write strategic website copy that sets you and your business apart.
I’ll do SEO keyword research at this stage to find relevant keywords that will help your ideal clients find you in a Google search. Then, I’ll use these keywords naturally throughout your web copy and write your title and meta descriptions*.
*Title and meta descriptions are the text that is displayed on search engine result pages when someone does a Google search for a business like yours. I write a different title and meta description for each of your website pages.
Step 4: Writing Your Website Copy and the Review Process
Once I have everything I need, I can write your website copy. I’ll write a few drafts before sending you the final version I’m happy with. Then it’s time for you to provide your feedback and input.
This collaborative process requires you to review your copy thoroughly and then let me know if you have any changes. There are 2 revision rounds included in your package to ensure you get copy you 100% love and copy that sounds exactly like you and your business, while appealing to your target audience.
Upon receiving your first draft, the final payment is due within 14 days.
Step 5: Finalising Your Website Copy Project
When the copy has been approved by you, I’ll give it to you in copy deck format (in a word document) that you can pass on to your web developer. The copy deck is a template for all your web pages which will include the metadata for each web page, the keywords, formatting suggestions for your web developer such as headers (H1, H2, H3), image file names, and Alt tags, the body copy, instructions for which copy should be bolded or appear as a bullet list, where to include links and contact forms in a page, clickable buttons, etc. This makes your web developer’s job so much easier – and helps makes the website building process a lot quicker.

It helps if you can educate yourself about SEO in general. As a business owner, it’s a handy skill to have. And it may save you from paying thousands of unnecessary dollars to SEO agencies.
For our website project, you can leave all the on-page SEO bits and pieces to me. But I’m happy to answer general questions about it as we work together. Because there’s a lot involved with SEO, I can never make the guarantee that you will rank on page one of a Google search. Why? Because as a copywriter, I work with on-page SEO copy only – the stuff that helps your website get found via an organic search on Google. But this is only one piece of the SEO puzzle.
There are many other SEO components beyond the on-page SEO services that I provide. Your web developer can help you with the technical side of website SEO, such as making sure your website loads quickly, uses compressed images, is mobile-friendly, and has an XML site map. In addition, your web developer can sign you up for tools like Google Analytics and Google Console, which help monitor how well your website is doing. Many web developers also offer ongoing support in this area.
Then once your website is live, you can do tasks yourself that helps with your off-page SEO. For example, setting up Google My Business, adding your website to online directories with good website authority, social media marketing and encouraging people to click from your social pages to your website, guest blogging, or appearing as a guest on a podcast, etc. These tactics all help get reputable backlinks to your website (something Google loves).
SEO is an ongoing process, and it takes time to work. If you’re website is new and you’re competing with established websites and brands, it can take you months to rank. It’s never something that is completely finished. Instead, it needs to be part of your ongoing marketing strategy.
But rest assured that having the relevant keywords in place and your on-page SEO sorted from the start of your business journey will help. You’ll already be doing better than the thousands of websites that don’t include SEO-friendly copy.
It’s best to know exactly how many website pages you require written before we start the project – so you can choose the right website copywriting package. Yes, it does. Many business owners write their own copy but end up going to a website copywriter because they need help to polish or improve it. Or they need an SEO copywriter to add in on-page SEO.
I’m always happy to look at the copy you’ve written, as I can use it as reference material when I write your website pages. But ‘rewriting’ copy takes the same amount of time as having to write copy from scratch. To get my head around your business and services, I still need to follow all the same processes – from taking a brief and researching your industry and competitors to keyword research, writing SEO-friendly copy, rounds of revisions, editing, proofreading, etc.
If you’re mostly happy with your existing copy and want it to be copy edited and proofread, then I can put on my editing cap and do that for you. I would quote you for an editing job only and not be looking at SEO or strategy or any copywriting other than changing a word or two for grammatical purposes.
